Build an all-in picture before comparing totals

A quote is useful only when its scope is clear. Keep the quoted service separate from delivery, setup, teardown, overtime, service charges, tax assumptions, gratuity decisions, and other additions that may or may not apply. If a package already includes an item, do not repeat it as a separate cost.

Keep certainty and timing visible

Treat an amount as confirmed only when both its scope and figure are settled. Use a range for a genuine estimate, and leave a cost unknown when there is not enough information to support a number. Record deposits, due dates, and the assumptions that could change the total, such as attendance or service duration. Contributions can reduce what one person needs to fund, but they do not reduce the all-in cost of the event.
